What is the VisaOne Platform?
The VisaOne (VOS) Platform is Singapore's dedicated corporate visa processing portal. Sponsoring companies use it to manage the end-to-end journey of their Employment Pass (EP), Dependant Pass (DP), and S Pass applications — from the initial order inquiry through to MOM approval and physical card delivery. This guide walks you through every stage so you know exactly what to expect.
Pro-Tip: Zero Guesswork
Every stage of your application is tracked in real time on your company dashboard. You will receive email notifications at every key milestone — so you never have to chase us for an update.
Stage 1: Create Your Company Account
Everything begins at the VisaOne Portal. Registration is free and takes under five minutes.
What you need:
- Your full name and a corporate email address
- Your company's registered name as filed with ACRA
- Your company's UEN (Unique Entity Number)
How it works:
- Visit vos.visaone-singapore.com and click Register.
- Enter your name, corporate email, password, company name, and UEN.
- Check your inbox for a verification email and click the confirmation link.
- Once verified, you are logged in and your company workspace is ready.
Your UEN is used to uniquely identify your company in the system. If your company already has an existing account with VisaOne, registering with the same UEN will link you to that existing company profile — no duplicate records are created.
Note: If you received an invitation code from VisaOne (for example, if you are being added to an existing company workspace), enter it during registration. Invitation codes link you directly to the correct company and role — no UEN entry is required.
Stage 2: Submit an Order Inquiry
Once logged in, you can start a new application by submitting an Order Inquiry. This is a lightweight intake form — no payment is required at this stage.
Navigate to: Dashboard → New Order
What you provide:
- The type of pass required: Employment Pass (EP), Dependant Pass (DP), S Pass, or a combination
- Basic candidate details: full name and email address for each applicant
- Any additional pass types (e.g., DPs for the EP holder's spouse and children)
What happens after submission: Your inquiry is created in our system with a status of Awaiting Review. A VisaOne consultant is notified and will begin reviewing your request.
Stage 3: VisaOne Review & Pricing Confirmation
Our team reviews your inquiry to confirm the scope of work, verify that the services requested are correctly configured, and calculate the final service fee.
During this stage, your consultant may:
- Adjust the number or type of passes if required (e.g., adding MCF job posting if FCF advertising is mandatory for the role)
- Contact you by email if additional clarification is needed
What happens next: Once the review is complete, the inquiry is finalized. You will receive a payment request email containing a secure payment link. The inquiry status on your dashboard updates to Awaiting Payment.
Flat-Rate Pricing: VisaOne operates on transparent flat-rate pricing — $800 for a new Employment Pass and $400 for a Dependant Pass. There are no hidden hourly charges.
Stage 4: Secure Payment
Click the payment link in your email (or navigate to it from your dashboard). The payment page displays a full order summary — the number and type of passes, and the total amount due.
Payment is processed securely via Stripe. You can pay using a credit or debit card.
Once payment is confirmed:
- You receive an automated payment confirmation email with your receipt.
- Your inquiry is promoted internally to a full Job Order — the formal case record our team uses to manage your applications.
- The status on your dashboard updates to reflect that processing has begun.
Stage 5: Complete the Application Forms
After payment, your Job Order is active and the application data collection begins. You will receive separate email links for two distinct forms:
Employer Form (HR Representative)
Filled in by the sponsoring company's HR manager or authorised representative.
Covers:
- Company details (name, UEN, business activity, registered address)
- Job title, job description, proposed salary, and requested pass duration
- MyCareersFuture (MCF) job advertisement details (ad URL, posting dates) — required for most EP applications under the Fair Consideration Framework
- Recruitment details: how many local candidates were interviewed, offered roles, or hired
- Names and contact details of authorised signatories and IPA recipients
Candidate Form (the Foreign Professional)
A secure, unique link is sent directly to the candidate's email address.
Covers:
- Personal details: full name, date of birth, nationality, gender, marital status, religion
- Passport details: number, issue date, expiry date
- Current residential address and contact number
- Singapore immigration history (previous or current passes)
- Work history (at least one role, up to two)
- Education history (institution, degree title, and dates)
- Professional memberships (optional)
Documents to upload:
- Passport biographical data page (clear scan)
- Education certificates
Document Standards: All uploads must be clear, legible scans in PDF, JPG, or PNG format. All information must be entered in English. Certified translations are required for non-English documents — contact us if you need this service.
Tracking: Your dashboard shows the completion status of both the Employer and Candidate forms in real time. You can monitor whether forms have been sent, are in progress, or have been submitted.
Stage 6: Document Verification
Once forms are submitted, our consultants review all uploaded documents for completeness, legibility, and MOM compliance.
If any document requires correction (for example, a passport scan is unclear, or a certificate needs a translation), you will receive an email notification with specific feedback. The system keeps a full log of every document action — uploaded, under review, verified, or returned for re-submission.
This verification loop continues until every required document is confirmed as Verified in the system. Once all documents pass, the application is ready for MOM submission.
Stage 7: MOM Submission & Real-Time Status Updates
With all documents verified, our consultants handle the official filing with the Ministry of Manpower (MOM) on your behalf.
Your dashboard tracker updates through the following stages:
- FCF Job Posting — MCF advertisement period being tracked (if applicable)
- Documents Verified — All documents cleared for submission
- Submitted to MOM — Application filed; MOM processing underway
- MOM Processing — MOM is reviewing the application (typically 1–3 weeks)
- IPA Issued — In-Principle Approval received ✅
You receive a real-time email notification the moment each milestone is reached. If MOM requests additional information or documents during processing, our team coordinates the response and keeps your tracker updated.
Stage 8: IPA Issued — In-Principle Approval
When MOM issues an In-Principle Approval (IPA), it means the EP application has been approved. VisaOne will notify you immediately by email.
What the IPA means:
- The application is officially approved — the candidate is cleared to take up employment at your company.
- The IPA letter typically serves as a single-entry visa if the candidate is currently overseas. Check the IPA document carefully for entry validity.
- The IPA is generally valid for 6 months, within which the pass must be formally issued.
Your action: Forward the IPA to the candidate so they can make travel arrangements if they are not yet in Singapore.
Stage 9: Pass Issuance
After the candidate arrives in Singapore, the pass must be formally issued. Our team handles the issuance request on your behalf.
Steps involved:
- Arrival confirmation: Provide the candidate's Singapore arrival date and residential address for card delivery.
- Notification Letter: Once issued, MOM generates a Notification Letter. This document is valid for one month and allows the candidate to begin work and travel in and out of Singapore while the physical card is prepared.
- Biometric registration (if required): First-time applicants, or those whose biometrics are not yet on record, must book an appointment at the MOM Services Centre to register their fingerprints and photo. The Notification Letter will state whether this is required.
- EP Card delivery: The physical EP card is delivered to the registered address within approximately 5 working days after successful biometric registration.
Stage 10: Pass Delivered — Process Complete
Once the physical pass card is delivered, the status on your dashboard updates to Pass Delivered. Your case is complete.
VisaOne retains a full compliance record for each application, including all documents, status history, and audit logs — available on your dashboard for future reference.
Handling Rejections & Appeals
If MOM rejects the application, VisaOne will notify you immediately and explain the advisory reasons provided. Our consultants can assist you in preparing and submitting an appeal via the MOM portal within 3 months of the rejection notification.
Common grounds for successful appeals include:
- Providing additional salary documentation to support C1 COMPASS benchmarking
- Submitting clearer qualification verification from an MOM-approved screening agency
- Adjusting the job scope or COMPASS supporting criteria
Our team will advise you on the strongest path forward.
Renewals
EP renewals follow the same platform workflow — an order inquiry, payment, form collection, and MOM submission. Key differences:
- Renewals are exempt from FCF job advertising — no MyCareersFuture posting is required.
- The VisaOne renewal fee is $400 (compared to $800 for a new EP application).
- Existing candidate documents already verified on the platform are reused — no need to re-upload credentials from a previous application.

Frequently Asked Questions
Q: How long does the entire process take?
From order submission to IPA, the typical timeline is 4–6 weeks — broken down as approximately 1–2 weeks for data collection and internal review, and 1–3 weeks for MOM processing. Complex cases or those requiring additional MOM information may take longer.
Q: Can I track the status of my applications at any time?
Yes. Your company dashboard provides a 24/7 live status tracker for every active case, from "Awaiting Review" through to "Pass Delivered."
Q: What happens after I pay — do I need to do anything immediately?
After payment, you will receive email links for the Employer and Candidate forms. Completing these forms promptly is the most important action you can take to avoid delays. The sooner both forms are submitted, the sooner we can begin verification.
Q: Can multiple people from our HR team access the same company account?
Yes. Additional team members can be invited to your company workspace with either a submitter role (can create orders and upload documents) or a viewer role (read-only access to your company's cases). Contact our support team to arrange additional access.
Q: Are MOM government fees included in VisaOne's flat rate?
All fees — VisaOne's service charge and applicable MOM government disbursements — are included in the single payment you make in Stage 4. There are no separate billing steps after you pay.
Q: What if the candidate's documents are not in English?
All submissions to MOM must be in English. Certified English translations are required for foreign-language documents. VisaOne can assist with translation referrals — please contact our support team.
